Case 3-8. Master Patient Index System Selection Mercy Hospital System is comprised of six hospitals. Corporate has asked the six HIM directors to select the MPI that will be used by all six of the hospitals.

 Three of the hospitals want MPI Plus, and the other three want HIM MPI. No system selection evaluation methods were established during the planning stage of this system selection. 

The HIM directors looked at demonstrations and the responses to the requests for proposals (RFPs) before voting; none of the directors are willing to change their votes.

 Identify evaluation criteria that could have been in place to prevent this stalemate from occurring

. Identify who else should have been involved in the decision-making process.

 Determine the lessons that the healthcare organization should learn from this experience. Case 3-13. Developing a System Selection Plan Your healthcare organization does not have an existing voice recognition system

. You are part of the five-member team responsible for selecting a voice recognition system for your healthcare organization. The functional requirements and the RFP have been developed. 

The RFP is due back from the vendors in one week. Your healthcare organization wants to make the decision about which voice recognition system to choose within three months. 

Your assignment is to evaluate the RFPs returned and to develop a plan to guide the team in the evaluation and selection of the final voice recognition system. 

Your plan should address the following issues: Recommend the process(es) that will be used to evaluat​‌‍‍‍‌‍‍‍‌‍‍‍‌‌‌‌‌‌‍‍​e the voice recognition systems. Identify how you will evaluate the individual RFPs. 

Identify who will be involved in the system selection process and their roles. Of all the evaluation methods used, determine the one you believe should have the most impact on your decision. 

Justify your choice. Case 3-16. Workflow Technology You started as the new director of HIM last week. Your department began using workflow technology six weeks ago with the EHR. 

With the implementation of workflow, the department started coding and analyzing health records online.

 Other tasks involved in the workflow are as follows: Notifying risk management of issues identified Communications with physicians Communications with business office Communications with supervisor Routing health records that meet criteria to performance improvement for review One of the first things that you noticed when you started work was the stress level of the coders—they are panicking.

 You also found that the billing hold report is at $2.4 million, when the expected level is below $300,000. In a meeting with the coders, they all tell you that they hate using the new workflow system. 

You also learn that much of their distress is a result of the fact that they were not involved in the selection or implementation of the new information system. 

In addition, they had only a short training period, so they do not feel comfortable using the information system. Identify the necessary steps required to resolve the problems. Formulate a plan so that future information system selections do not incur these same proble​‌‍‍‍‌‍‍‍‌‍‍‍‌‌‌‌‌‌‍‍​
